Privacy Policy

This Privacy Policy explains how Velopedia.com (“Velopedia”) collects, uses, discloses, and protects information when you visit or interact with the website, use My Garage, create or view a Bike History Report, or use another Velopedia feature.

1. Information You Provide

Velopedia may collect information that you voluntarily provide, including:

Your name and email address
Information included in a contact form or email
Questions, feedback, technical sources, and correction requests
The email address used for passwordless access to My Garage
Bicycle identity information, including a private bike name, manufacturer, model, model year, bicycle type, relationship or status, and optional serial number
Owner-entered bicycle specifications, setup settings, notes, upgrades, service history, costs, mileage, hours, service-provider names, and inspection records
Bicycle photographs you choose to upload
Bike History Report settings, such as whether to show the final four serial characters or include My Setup
The recipient email address you provide when inviting another person to receive a bicycle record

Do not enter sensitive personal, financial, medical, government-identification, payment-card, or unrelated third-party information into Velopedia. When documenting service, enter only information you are authorized to share.

2. Information Collected Automatically

When you visit Velopedia, the website and its service providers may automatically collect technical and usage information such as:

Internet Protocol address
Browser, device, and operating-system information
Referring website
Pages viewed and site searches
Date and time of access
Approximate geographic region
Cookie, session, or device identifiers
Error, security, fraud-prevention, caching, and performance information
Interactions with links, tools, advertisements, marketplace listings, and other site features

Velopedia may use a protected hash derived from an IP address or email address to apply rate limits and reduce automated abuse. A Bike History Report may record an aggregate view count and the date of its most recent view. Ordinary hosting and security logs may also record requests to report pages.

This information may be collected through server logs, cookies, analytics tools, security systems, and similar technologies.

3. Passwordless My Garage Access

My Garage uses passwordless email access rather than a traditional username and password.

When you request access, Velopedia stores your email address and sends a single-use sign-in link. The link expires after approximately 20 minutes. Sign-in and session tokens are stored in protected hashed form on the server.

After sign-in, a secure first-party session cookie may keep My Garage available for up to 30 days. You can sign out to end the current session. Velopedia does not use an external identity provider for My Garage access.

Keep sign-in links private. Anyone able to use a valid sign-in link or an active browser session may be able to access the associated Garage.

4. My Garage Records

My Garage associates each saved physical-bicycle record with the member email address used to access it. A record may begin with a Velopedia Bicycle Archive model or with an owner-created bicycle that is not in the Archive.

Garage records may include:

Bicycle identity and relationship or status
A private bike name and serial number
An owner-uploaded photograph
Owner-entered specifications
Current setup settings
Private Garage notes
Documented upgrades and upgrade notes
Service dates, work performed, parts replaced, mileage or hours, service provider, recorded cost, and service notes
Inspection results and private inspection notes
Report and ownership-transfer settings

Owner-created bicycles remain private Garage records and do not create public Bicycle Archive entries.

The same serial number may be entered in more than one private Garage. Velopedia may privately warn a member about a possible duplicate, but does not reveal another member’s identity, treat a serial number as proof of ownership, merge records automatically, or move history without an accepted transfer.

5. Owner-Uploaded Bicycle Photographs

Uploaded bicycle photographs are validated, resized, and re-encoded before storage. Velopedia stores the resulting image and technical details such as its file location and dimensions.

Do not upload an image unless you have the right to use it. Avoid photographs that reveal faces, addresses, license plates, documents, precise location information, or other personal information that is not needed to document the bicycle.

An owner photograph is not displayed in a Bike History Report unless the owner creates an active report for that bicycle. Removing the photograph, deleting the bicycle, or deleting the Garage account removes the active stored image, subject to ordinary backup, caching, and legal-retention limitations.

6. Bike History Reports and Public Sharing

Garage information is not displayed in a Bike History Report unless the member deliberately creates one. Each active report uses a separate, long, revocable sharing link.

Depending on the bicycle and the member’s choices, a report may display:

Velopedia Archive information for the matched model, or owner-entered identity and specifications for an unmatched bicycle
The owner-uploaded photograph
Documented upgrades and their notes
Service history, including service-provider names, recorded costs, mileage or hours, and service notes
Assigned inspection results, excluding private inspection notes
My Setup, only when the member chooses to include it
The final four serial characters, only when the member chooses to include them

A report does not display the member email address, private Garage notes, private inspection notes, or full serial number.

Anyone who has an active report link can view the report without signing in until the owner revokes or replaces the link, deletes the bicycle, transfers the record, or deletes the Garage account. Sharing links should be treated as public. A recipient may save, print, screenshot, or redistribute a report. Revoking the Velopedia link prevents future access through that link but cannot retrieve copies already made by other people.

Velopedia distinguishes Archive information from owner-entered information. A Bike History Report is documentation supplied or selected by a Garage member. It is not an independent mechanical inspection, ownership or title check, service-provider verification, warranty, appraisal, or guarantee of condition.

7. Bicycle-Record Transfers

A member may invite another person to receive a bicycle record by entering the recipient’s email address. Velopedia temporarily stores that email address, a protected transfer token, and information needed to complete or cancel the invitation.

The invitation expires after approximately seven days and can be accepted only by a Garage signed in with the exact recipient email address. Nothing moves merely because the email or invitation link is opened.

When a transfer is accepted:

The bicycle identity, serial number, owner photograph, optional owner-entered specifications, setup, upgrades, service history, and assigned inspection results move to the recipient’s Garage
The former owner’s private Garage notes and private inspection notes are cleared
The previous Bike History Report link is revoked
The former owner loses control of the transferred Garage record

The sender can cancel a pending invitation before acceptance. A transfer moves a Velopedia record; it does not establish or transfer legal title to a bicycle and does not verify the identity or authority of either person.

8. Calculator and Tool Inputs

Velopedia’s calculators use the information you enter to produce requested results.

Velopedia does not ask users to enter personally identifying information into its calculators. Do not enter sensitive personal information into a calculator or technical tool.

General analytics may record that a tool page was visited or used. Unless a tool specifically states otherwise, calculator values are not intentionally used to identify individual visitors.

9. Cookies and Similar Technologies

Velopedia and its service providers may use cookies, local storage, pixels, web beacons, and similar technologies for purposes including:

Website operation, passwordless sessions, and security
Caching and performance
Remembering preferences
Measuring traffic and usage
Detecting fraud or automated abuse
Measuring affiliate referrals
Serving and measuring advertisements

You can control or delete cookies through your browser settings. Blocking required first-party cookies may prevent My Garage or other site features from working correctly.

Where required, Velopedia may present a consent or privacy-choice message before activating certain analytics or advertising technologies. Visitors in the European Economic Area, United Kingdom, Switzerland, or other regulated regions may receive additional consent controls.

10. How Information Is Used

Velopedia may use collected information to:

Operate, secure, and maintain the website
Authenticate members and maintain private Garage sessions
Store, display, export, transfer, and delete Garage records as requested
Generate and serve revocable Bike History Reports
Send sign-in and bicycle-transfer emails
Provide archive searches, calculators, and other features
Respond to questions, privacy requests, corrections, and site reports
Understand website usage and improve content and functionality
Diagnose errors and performance problems
Prevent fraud, spam, unauthorized access, and misuse
Measure marketplace referrals and affiliate activity
Display and measure advertising
Comply with legal obligations
Protect the rights, safety, and security of Velopedia and its visitors

11. Analytics and Google Services

Velopedia uses Google services to help manage, measure, and understand website performance. Depending on the services enabled, these may include Google Site Kit, Search Console, Google Analytics, and Google AdSense.

If Google Analytics is enabled, it may collect information about browser and device characteristics, interactions, approximate location, and website usage through cookies or similar identifiers. Google states that Google Analytics 4 does not log or store individual IP addresses, although IP information may be processed briefly to derive approximate geographic information and provide the service.

12. Advertising

Velopedia may display advertising provided by Google AdSense or other advertising partners.

Third-party vendors, including Google, may place or read cookies, use web beacons or IP addresses, and process information to serve and measure advertisements. Google’s use of advertising cookies enables Google and its partners to serve ads based on a visitor’s prior visits to Velopedia or other websites. Other authorized advertising vendors or networks may use their own cookies or similar technologies as described in their policies.

You can manage Google advertising preferences or opt out of personalized advertising through Google My Ad Center. Other advertising providers may offer choices through their own privacy policies or industry opt-out services.

Where applicable, visitors may use Velopedia’s consent or privacy controls to accept, reject, or manage advertising and analytics technologies.

13. eBay and Affiliate Links

Velopedia participates in the eBay Partner Network.

Links to eBay may contain affiliate identifiers that allow eBay to determine that a visitor was referred by Velopedia. If you click an eBay link, eBay may collect information, set cookies, and process activity under its own policies. Velopedia may receive reports concerning clicks, qualifying transactions, and commissions.

14. Service Providers and Information Sharing

Velopedia may disclose information to service providers that perform services such as:

Website hosting, storage, content delivery, and caching
Security, fraud prevention, and rate limiting
Email delivery
Contact-form processing
Website analytics
Advertising
Affiliate tracking
Technical support

These providers may process information only as permitted by their agreements, configurations, and applicable law.

Velopedia may also disclose information when reasonably necessary to:

Comply with a law, court order, subpoena, or legal process
Investigate fraud, abuse, unauthorized access, or security threats
Enforce website policies
Protect legal rights, property, safety, or the public
Complete a sale, transfer, financing, or reorganization of the website or its assets

Velopedia does not sell personal information for money. Certain analytics or advertising activities may be treated as “selling,” “sharing,” or targeted advertising under some privacy laws. Where applicable, visitors may request to opt out through available privacy controls or by contacting Velopedia.

15. Data Retention

Velopedia retains information only as long as reasonably necessary for the purposes described in this Policy.

In general:

Unused sign-in links expire after approximately 20 minutes, and expired or consumed link records are cleaned up
Garage session records may remain active for up to 30 days unless the member signs out or the session is otherwise ended
Pending bicycle-transfer invitations expire after approximately seven days and may be deleted sooner if accepted or canceled
Garage records remain associated with the member until individually deleted, transferred, or removed through account deletion
Active report settings remain until the report is revoked, replaced, transferred, or deleted
Security, server, analytics, advertising, affiliate, email-delivery, and backup records may follow different retention periods established by Velopedia or the applicable service provider

Information may be retained longer when reasonably necessary to meet legal obligations, prevent abuse, resolve disputes, enforce agreements, or protect the website and its users. Deletion from active systems may not immediately remove information from backups, caches, logs, or copies made by report recipients.

16. Data Security

Velopedia uses reasonable administrative and technical safeguards intended to protect information. These measures include expiring single-use sign-in links, protected token storage, first-party session controls, rate limiting, access checks, and validation and re-encoding of uploaded bicycle images.

No website, email, internet transmission, or storage system can be guaranteed completely secure. You are responsible for protecting sign-in, report, and transfer links and for signing out of shared devices.

17. Children’s Privacy

Velopedia is intended for a general audience and is not directed to children under 13.

Velopedia does not knowingly collect personal information from children under 13. If you believe a child has submitted personal information, contact Velopedia so it can be reviewed and deleted where appropriate.

18. Your Privacy Choices and Rights

Depending on where you live, you may have rights to:

Request access to personal information
Request correction or deletion
Object to or restrict certain processing
Opt out of certain advertising, sharing, or targeted advertising
Withdraw consent where processing is based on consent
Request information about categories of data disclosed to third parties
Appeal certain decisions concerning a privacy request where applicable

My Garage provides controls to delete individual bicycle information and permanently delete the Garage account. Velopedia also supports export and erasure requests through its site privacy tools.

Requests may be sent to info@velopedia.com. Velopedia may need to verify the requesting email address or otherwise confirm a request before responding. Some information may be retained where permitted or required by law.

19. International Visitors

Velopedia is operated from the United States. Information may be processed in the United States or other countries where service providers operate.

Those countries may have privacy laws different from those in your location.

20. External Links

Velopedia contains links to external websites. This Privacy Policy does not govern information collected by third-party websites.

Review the privacy policy of any external service before providing information or completing a transaction.

21. Changes to This Policy

Velopedia may update this Privacy Policy as the website, Garage features, service providers, or legal requirements change.

Updates will be posted on this page with a revised “Last updated” date.
