Documentation that supports resale

Help protect your bike’s value with a documented history

A well-maintained bike and an undocumented bike can look nearly identical in a listing. A Velopedia Bike History Report brings identity, upgrades, service and supporting evidence into one buyer-facing record that helps good care stand out, reduce buyer uncertainty and help support a fair asking price without exposing private Garage information.

Why it helps at resale

Make the asking price easier to understand

Documentation does not guarantee a sale price, but it can help a well-kept bike stand apart and reduce buyer uncertainty.
01

Show exactly what is for sale

Connect the physical bike to its Velopedia model record, or clearly identify an owner-entered bike with its own photo and details.

02

Make upgrades count

Show meaningful component changes separately from the original specification so buyers can recognize what was added.

03

Make good care visible

Organize dated service work, parts, mileage or hours and the service provider instead of asking buyers to accept a vague maintenance claim.

04

Reduce unanswered questions

Include dated inspection activity and supporting evidence that gives a serious buyer more useful context before the sale.

Campaign

Optional maintenance mileage

Use mileage privately while you own the bike

Velopedia is Compatible with Strava. A signed-in member can match a Strava bicycle to any physical bike in My Garage, including an Archive-backed bike or one the owner added manually. Velopedia uses its cumulative bicycle mileage for chain and brake-pad inspection reminders and to show cassette mileage since a documented replacement, without becoming a ride viewer or predicting component wear.

  • Free and optional; Report Plus is not required
  • Bike names do not need to match
  • No ride details, routes, maps, segments, health or social data
  • Strava names and mileage never enter reports, PDFs or ownership transfers

How it works

Four clear steps from Garage to listing

  1. 1
    Save one physical bike

Find its model in the Bicycle Archive, or add a private owner-entered bike using only its manufacturer and model. Photo, year, type, serial and specifications are optional.

  2. 2
    Open the section you need

My Garage keeps Bike details, Setup & history, and Selling & ownership clearly separated. Add factual records when useful, and optionally connect Strava for private maintenance mileage; only one work section opens at a time.

  3. 3
    Strengthen the listing

Generate a separate buyer-facing link so serious buyers can review the documented record alongside the listing, or print the polished report and save it as a PDF. Report Plus can add protected evidence, a QR listing card and a single-use link that lets a provider respond without an account.

  4. 4
    Close the ownership loop

Mark the bike for sale, sold or archived. You can also invite the buyer to accept its documented record into their own private Garage.

Private by default

The Garage does not become public

A report uses its own long, unguessable share link. The owner can replace or revoke that link at any time.

  • Member email is never included.
  • Private Garage notes stay private. My Setup appears only when the owner explicitly includes it.
  • Inspection notes stay private.
  • Optional Strava bicycle names, mileage and maintenance timing stay in the signed-in Garage and never enter the buyer report or PDF.
  • Report Plus files start private and appear only when the owner explicitly selects report visibility.
  • Service-provider links expire after seven days and reveal only the bicycle identity and selected service entry, not the owner email, serial number, private notes or recorded cost.
  • The full serial number is never shown. The owner may explicitly include only its last four characters.
  • Ownership transfers use a separate expiring invitation and require the exact invited email to accept.

Clear about what the report establishes

A Bike History Report combines available Velopedia Archive information with history documented by the Garage owner. A bike without an Archive match can still have a report, but its identity, photo and optional specifications are clearly labeled as owner supplied. An included service-provider response records what someone submitted through the owner’s link; Velopedia does not independently authenticate the responder or business or verify the work. A report is not an appraisal, independent mechanical inspection, title or ownership check, warranty, authenticated service record, or guarantee of a bicycle’s condition or sale price. Buyers should still inspect the bicycle and verify important claims and receipts directly.

Help & FAQ

Using Bike History Reports

Practical answers for building, sharing, closing, or transferring one physical bike record.
What is the recommended seller workflow?

Save the correct Archive model, or add a bike not in the Archive. Choose Manage bicycle, then work through the clearly labeled Bike details, Setup & history, and Selling & ownership groups. Add only the identity, photo, specifications, setup, upgrades, service and inspections that are useful, then mark it For sale. Review the report privacy options, create the report link, and share or print it. After the sale, mark the bike Sold (record kept here), archive it, transfer its record to the buyer, or delete it.

Can I create a record if the bike is not in the Archive?

Yes. In My Garage, choose Add a bike not in the Archive. Only manufacturer and model are required. Model year, type, nickname, serial, owner photo, setup and specification details are optional. The bicycle stays private to the Garage and is not published as an Archive entry. Any completed specifications appear in a report as owner-entered information.

What can a buyer see?

For a matched bicycle, the report shows the Archive identity and original published specification. For an owner-created bicycle, it shows the owner-entered identity, owner photo and only the optional specification fields that were completed, all clearly labeled. Both report types can include owner-documented upgrades, service history and assigned inspection results. The member email, private Garage notes, private inspection notes and full serial number remain excluded. My Setup and the final four serial characters appear only when the owner explicitly includes them. Report Plus photos, PDFs and service-provider responses appear only when the owner changes them from private to report visibility.

What is free, and what does Report Plus add?

The complete live Bike History Report remains free: identity, one owner photo, available specifications, setup options, upgrades, owner-entered service history, inspections, a revocable link, printing and transfer. Report Plus is an optional one-time purchase for one physical bike. It adds up to 12 gallery photos, 20 receipt or supporting PDFs, seven-day service-provider response links and a downloadable QR listing card for marketplace ads or printed sale tags. The QR card opens the current report link, so replacing or revoking that link also disables an earlier downloaded card. Each Plus confirmation and linked file starts private and is shared only when the owner chooses report visibility. It is not a recurring subscription.

Can a Bike History Report increase resale value?

No report can guarantee a price. Resale still depends on condition, age, demand, location and the market. Good documentation can, however, help a seller show why a well-maintained or thoughtfully upgraded bike deserves serious consideration, reduce buyer uncertainty and support a fair asking price more credibly than an undocumented listing.

How does optional Strava mileage work?

Connecting Strava is free and optional. The signed-in member explicitly matches each Strava bicycle to an Archive-backed or owner-created bike in My Garage; the names do not need to match. Velopedia reads the bicycle name and cumulative gear distance to show private chain and brake-pad inspection reminders plus cassette mileage since a documented replacement. Each baseline comes from a matching service-history entry; there is no direct counter reset, and cassette replacement is never predicted from mileage. Velopedia does not fetch or store ride details, routes, maps, segments, health data or social data. Strava-derived names, mileage and reminders never appear in a Bike History Report, PDF, QR card or ownership transfer, and disconnecting deletes the local connection, cached bicycle data and mappings.

How does a service-provider confirmation work?

The owner creates a link from a saved service entry and sends it to the shop or mechanic. The link expires after seven days and can be submitted once. On one mobile-friendly page, the provider enters a business name and private staff name or initials, confirms the entry or adds a clarification, and may attach one receipt, work order, photo or PDF. No shop account, password, subscription or dashboard is required. The response and file stay private until the owner explicitly includes them in the buyer-facing report.

Who processes the Report Plus card payment?

Checkout is hosted by Stripe. Velopedia creates the order and receives payment status, amount, currency, transaction references and the purchaser’s Garage email, but does not receive or store the card number, security code or full payment credentials.

Are receipts and photos verified?

No. Report Plus files are supplied and selected by the bicycle owner. Velopedia does not authenticate a receipt, verify who performed work, or confirm that a photo depicts the bicycle being sold. Buyers should verify material claims directly. Owners should redact names, addresses, phone numbers, payment details and other unnecessary personal information before sharing a file.

Does a provider response verify ownership, service, or condition?

Not independently. Velopedia clearly separates historical archive data, owner-entered records and included provider responses. A response shows the provider name and statement submitted through the owner’s bearer link, but Velopedia does not authenticate that person or business or verify the work. The report is not a title check, independent mechanical inspection, warranty, or guarantee. Buyers should inspect the bike and verify important receipts and claims.

Does the report stay up to date?

Yes. An active report reads the bike’s current documented Garage record. New service, upgrade, setup, status, and inspection changes appear when the report is opened again. Its revision and last material update change when report-visible information changes.

How do I print or create a PDF?

Open the buyer-facing report and choose Print or save PDF. In the browser print dialog, select the PDF destination. The report includes print-specific styling, so navigation controls are removed from the saved document.

Can I stop an old report link from working?

Yes. Revoke it to disable it immediately, or replace it with a fresh link. Creating a replacement invalidates the earlier link and any QR card made from it. Velopedia uses a protected lookup hash for public access and encrypted storage to let the signed-in owner return to the current reusable address.

What do For sale, Sold, and Archived do?

They describe the bike’s lifecycle without deleting its documented history. For sale is useful while listing it. Sold (record kept here) records the outcome while retaining the history in your Garage. Archived labels the retained record as no longer part of active ownership. None of these statuses sends a transfer invitation, changes account access or disables a report link; use the separate transfer or report controls when needed.

How does transfer to a new owner work?

Enter the buyer’s email on the bike card. Velopedia emails a private invitation that expires after seven days. Nothing moves until a Garage signed in with that exact email accepts. Acceptance moves the identity, owner photo, optional owner-entered specifications, serial, setup, upgrades, service history, confirmed provider responses, assigned inspection results, and any Report Plus entitlement and files. Pending provider links are cancelled, and confirmations and Plus files are reset to private so the buyer must review them before creating a new report. The former owner’s private Garage and inspection notes are cleared, and the old seller-report link is revoked. The seller can cancel before acceptance.

What if the buyer already saved the same serial?

Velopedia allows both records and flags the possible duplicate privately. A serial is not treated as legal proof of ownership, and no owner information is revealed. Records are never merged automatically. If an accepted transfer leaves two entries in the buyer’s Garage, the buyer can review them and delete the empty duplicate.

What happens when I delete a bike?

Deleting removes that Garage bike’s identity, managed owner photo, optional specifications, relationship, private notes, setup, upgrades, service history, provider confirmations, report link, pending transfer invitation, Report Plus entitlement, and protected Report Plus files. The purchase is not reusable on another bike. Separately saved inspection records are retained but detached from the deleted bike so they are not lost accidentally. Account deletion remains available separately and removes all private Garage data.
